Case Study: How The Sheraton Grand Park Lane can work better with staff and agencies through Gameplan

The Sheraton Grand London Park Lane is one of the city’s finest and best known 5-star hotels. Founded in the 1920s, the hotel has a long and famous history of outstanding hospitality and connecting with the most discerning of travellers. Located in the heart of Mayfair, just a short walk away from Buckingham Palace and Westminster, the Art-Deco hotel is a wonderful throwback to the ‘Roaring Twenties.’

VIP events are held in the hotel’s historic Grade II listed ballroom. Spread over three levels and showcasing some of the architecture that made the 20’s the greatest avant-garde era, guests are transported back to the Jazz Age. Arriving through the private entrance of the Silver Gallery, with its original cabaret stage and rose gold features they discover the majestic ballroom complete with sprung maple dance floor hosting up to 1200 guests.

Catering to an event of such size requires a very large front-of-house team. Typically, at The Sheraton Grand, this is made up of a combination of both a permanent internal team and trusted agency personnel from multiple suppliers. Managing such a workforce is a challenge.

“Keeping tabs on multiple agencies and multiple products is a pain,” says Arne Finnern the Banqueting and In-Room Dining Manager. Arne explains how one agency cannot supply the entire workforce throughout the year and, as such, he is often juggling multiple supply partners across different areas. To date, he has tried at least ten agencies in the hospitality space.

“I need a single, end-to-end solution for both my internal and agency teams. I waste too much time preparing for events, controlling events and subsequently analysing events.”
Gameplan was introduced to Arne and the team at the Sheraton as an ideal solution. As a fully integrated workforce management software, Gameplan allows businesses to connect with both their workers and suppliers, enabling them to work as a team to optimize the event planning and delivery processes. Building an event is both simple and efficient, and once finalised, all shifts are instantly pushed out to multiple agency suppliers alongside the internal team. The system automatically updates all users any time anything changes, removing the burden of unnecessary admin.

On this particular night, The Sheraton Grand was hosting an early Christmas party for the senior management and owners of the Marriott group. Staff arrive and Arne checks them in seamlessly on his manager mobile app. Any time staff needs to be moved the system time stamps the action. This 100% accuracy massively reduces administrative burden post-event.

A great night is had by all, but normally that means a lot of work for the events team the next day. With Gameplan, it’s all been done. Time and attendance are all perfectly accurate, queries from all agencies are managed in one central location and now it’s time to start using some of the powerful analytic capabilities of the platform. How much was spent on agency workers versus internal team, broken down by area, spend per role or even booked against actual numbers are just some of the stats the system produces instantly.

“A system like Gameplan can really help us to not only mobilise internal and external workforces better, but it cuts our costs and helps us make better business decisions going forward” comments Arne. It’s this type of value add that the team at Gameplan are excited to bring to the market.
